The Q4 ordering calendar: when a floor-care order must leave China to reach the Christmas shelf

Working backwards is the only way to build a Q4 calendar: with China–Europe door-to-door transit running 40–50 days in current conditions (Freightos, 2026) and Red Sea diversions having added 10–14 days to Asia–Europe routes (ITF/OECD, 2024), a floor-care order that leaves port in mid-November lands after the shelves are already set. Here is the dated calendar, the mixed-container deadline, and the fallbacks that still make the season if you are starting late.

What you need before you start

Four items make the calendar real rather than theoretical:

  • The target on-shelf week, named (week 49 and week 50 are the European Christmas set weeks)
  • The supplier's quotation SLA confirmed — on this programme it is 24 working hours, which is calendar time you can plan on
  • The certificate pack for your market (CE / GS / EMC / RoHS / CB / UN 38.3 as applicable) — a compliance surprise in November is a January shelf
  • The per-model loading counts: floor washers, stick vacuums and steam cleaners in this line all engineer to a flat 200 units per 40HQ, which is what makes the mixed-container deadline predictable

Step 1 — Set the on-shelf week and reverse the transit

Action: place the on-shelf date first and subtract the ocean. Criteria: current China–Europe door-to-door runs 40–50 days (Freightos, 2026), and the ITF/OECD documented that Red Sea diversions added 10–14 days to Asia–Europe routes (ITF/OECD, 2024), with European port congestion adding days at the hubs (Kuehne+Nagel, June 2024). If the maths fails: the fallback is premium freight on the hero SKU only — never air-freight the whole container.

Step 2 — Commit production by the deposit date, not the intention date

Action: place the PI and deposit against the quoted production window. Criteria: published production on this programme is ≈15 working days off-season and ≈4 weeks in the Sep–Dec peak — the peak number is the one that applies now. If it fails: a supplier cannot commit the peak window in writing is a supplier booking someone else's container first.

Step 3 — Lock the mixed-container mix before the loading plan closes

Action: compose the 40HQ as a category bay while the loading plan is still open: floor washers as the premium anchor (200 units per 40HQ full), stick vacuums and steam cleaners as companions at the same 200-unit standard, topped with high-cube models — the compact sweeper loads 8,900 units per 40HQ and fills remaining space almost for free. Criteria: a per-model loading plan quoted in writing. If it fails: split the order into two partial containers rather than betting the season on one unverified cube.

Step 4 — Book QC and loading photographs against the gate, not the promise

Action: schedule pre-shipment inspection (AQL) and loading photographs against the production gate. Criteria: four QC gates and a loading confirmation against the PI — the published process on the OEM/ODM page — with the documents arriving before the balance payment. If it fails: photographs after balance is not a gate; it is a story.

The 3 mistakes that cost the Christmas shelf

Assuming last year's transit. The 30–35-day port-to-port memory predates the diversions; current planning uses 40–50 days door-to-door. The consequence of the old number is a container that arrives for the January clearance — the shelf it was bought for is gone.

Ordering the hero SKU alone. A single-SKU container leaves the cube half-empty and the bay unbalanced; the mixed-container standard (flat 200 units per model) exists so the season's order covers a bay, and the high-cube sweeper fills the top.

Skipping the file-pack check in the calendar crunch. UN 38.3 discovered at the port in December stalls the container behind every other late order. The file pack travels with the quotation here — keep it a pass condition even in a rush.

A worked example

The calendar as it runs this week, against three real platforms from the line:

MilestoneDate (working days)Deliverable at the gate
Quotation + spec checkDay 0–1Quotation inside 24 working hours; file pack (CE / GS / EMC / RoHS / CB / UN 38.3) attached
PI + depositDay 2–3Mixed-container layout: floor washer + stick vacuum + steam cleaner, per-model loading plan
Production (peak)Week 1–4Four QC gates; AQL pre-shipment report; ≈4-week peak window
Booking + loadingWeek 4–5Loading photographs against the PI; bills and packing list against the container plan
Transit to EUWeek 5–1240–50 days door-to-door current conditions; customs at destination
On shelf≈Week 12–13Early January arrival for an order placed this week — or premium freight on the hero SKU to pull it earlier

Transit figures: Freightos (2026) and ITF/OECD (2024). Production windows and QC gates from the published OEM process on this programme; loading figures from the Cliia 49-model specification ledger.

Print this checklist

  • On-shelf week named; transit subtracted at 40–50 days current conditions
  • Deposit committed against a written ≈4-week peak production window
  • Mixed-container layout quoted: 200 units per model standard, high-cube sweeper topping the cube
  • File pack (CE / GS / CB / UN 38.3 as applicable) delivered with the quotation
  • AQL pre-shipment inspection and loading photographs booked against the gate
  • Hero-SKU air-freight fallback priced, in case the sea window closes
